Event & Sponsorship Coordinator

Job Description

  1. Plan event from start to finish according to requirements, target audience and objectives
  2. Come up with suggestions to enhance the event’s success
  3. Prepare budgets and ensure adherence
  4. Source and negotiate with vendors and suppliers
  5. In charge of hiring casuals / part time personnel (hostesses, waiters etc.)
  6. Coordinate all operations
  7. Lead promotional activities for the event
  8. Supervise all staff (event coordinators, caterers etc.)
  9. Approve all aspects before the day of the event
  10. Ensure event is completed smoothly and step up to resolve any problems that might occur
  11. Analyze the event’s success and prepare reports
  12. Ensure proper delivery of all contracted benefits including the management of signage and branding rights, tickets and hospitality at events
  13. Working closely with the Trade, Events & Sponsorship Manager to proactively identify opportunities for adding value to events
  14. Facilitate forward-year planning of activity for events and research assistance for end-of-year reviews
  15. Liaison with the host venue and/or local organizing committee regarding all aspects of the event, such as broadcasting, seating, hospitality, catering (VIP, player/official/public) security and match regulations
  16. Management of the budget for events
  17. Liaison with Finance Department regarding pre-event payments and post-event reconciliation/invoicing/credit control
  18. Liaison regarding seating numbers, tickets sales and ticket allocation for stakeholders
  19. Liaison regarding delivery of printed materials for matches and events e.g. posters, tickets, publications, match brochures, scorecards etc
  20. Facilitating delivery of on-ground/in-venue requirements to key stakeholders e.g. broadcasters, written media, internet providers, hospitality caterers, security personnel, merchandisers etc
  21. Management of VIP hospitality, including invitations, in-venue set-up, table-planning, VIP management
