MAIN PURPOSE OF THE JOB
To maintain and enforce admin systems, controls and procedures for a region
JOB OBJECTIVES
Ø To manage and train store management
Ø To control the financial performance of the region within the budgetary constraints
Ø To ensure that the stores within the region comply to audit requirements to prevent losses
Ø To control the shrinkage in the region
Ø To oversee the complete and accurate management of mark downs
Ø To oversee a complete and accurate stock ledger
Ø To oversee the documentation management of the branches in the region
Ø To assist and support branches with ad-hoc administrative functions
Ø To support and relieve the Regional Manager in all his / her duties
TASK INFORMATION
Ø To manage and train store management
• Interview personnel that will be reporting to the admin manager
• Handle IR related issues regarding store management
• Sign off on Trainee Manager Programme (admin)
• Continuous on-the-job training (coaching)
Ø To control the financial performance of the region within the budgetary constraints
• Drawing up of the store budgets for the region
• Profit and loss analyses and corrective action initiated, communicated to branch management and implementation ensured
• Profit and loss reporting to branches and the divisional office
Ø To ensure that the stores within the region comply to audit requirements to prevent losses
• Perform High-risk audit procedures
• Ensure compliance to rules, regulations, policies and procedures with regards to:
- Receiving
- Cash Office
- POS Rooms / Pricing
- Stock control
- Security
Ø To control the shrinkage in the region
• Schedule stock taking
• Planning, preparing and supervising of stock take
• Investigate the validity and accuracy of the recon
• Analyse the stock take recon to determine corrective action
Ø To oversee the complete and accurate management of mark downs
• Analyse the regional branch adjustment summary
• Report and advise branches on the outcome of the adjustment summary
• Ensure corrective action taken in branches on store visits
Ø To oversee a complete and accurate stock ledger
• Provide stock ledger training to stores
• Analyse the stock ledger related reports
• Determine the reasons for out-of-line situations
• Correct out-of-line situations
Ø To oversee the document management of the branches in the region
• Ensure branch filing procedures are maintained according to company policies and standards
Ø To assist and support branches with ad-hoc administrative functions
• Coordination of insurance claims
• Fraud investigations
• IT incident management
Ø To support and relieve Regional Manager in all his/her duties
• Stand in for Regional Manager whenever necessary and/or appropriate
